The summit is filmed and photographed, and most of it is public. How to stay out of the photos, ask for a private meeting, and control what your badge shares.
In defence, plenty of people can't appear in public photos, or would rather decide when they do. So here is how filming, photography and contact sharing work on the day.
Sessions on the main tracks are filmed, and the recordings go up on our YouTube channel after the event. A few sessions run under the Chatham House Rule instead. Those are held separately from the main tracks, are not filmed, and are listed in the briefing we send before the summit.
Photographers work throughout the venue, and their pictures are published on this site, in the post-event gallery, on social media and in press material. If you speak on stage, expect to be photographed and filmed.
If you need a private meeting or a confidential discussion with someone at the summit, tell us and we will arrange it. Those meetings are not filmed or photographed, and nobody else may record them.
Companies that want to host a private session of their own on site can do it as a partnership. Write to partnerships@aidefencesummit.eu and we'll talk through what you have in mind.
If you don't want to be photographed, ask for a red lanyard at the registration desk. Our photographers are told to keep anyone wearing one out of their shots. Some shots will still catch you in the background, so we go through the galleries before they are published and remove or blur anyone in a red lanyard.
If a picture of you is published anyway, write to info@aidefencesummit.eu and we will take it down from anything we control. We can't remove it from a news outlet that has already run it, but we will pass your request on.
Other attendees can scan the QR code on your badge to get your contact details, which saves spelling out an email address over coffee. The code is printed on one side of the badge only. Turn it round and nobody can scan it.
A scan always shares your name. Your company, email, phone number and LinkedIn are each a checkbox on the badge page of your attendee portal, so you can share all of it, some of it, or nothing beyond your name.
We want people to meet at the summit, and we also want you to stay in control of your image and your details while you do. If something here doesn't cover your situation, write to us before the event and we'll work it out with you.
