The Terms of Your Registration.
These terms govern registration and admission to the AI in Defence Summit 2027, held on 1 March 2027 at SQUARE Brussels Meeting Centre, Mont des Arts, Brussels. The AI in Defence Summit is a brand of Seven Camp ASBL and is operated by Seven Events SRL (together “we”, “us”, the organiser). By registering you accept these terms.
Your contract for a badge is with Seven Camp ASBL, which takes payment and issues your invoice.

Registration Is Not
Yet A Place.
Every registration is reviewed
Registering does not confirm a place. Each registration is individually reviewed by our team, including identity verification and curatorial review. Your place exists only once we approve it and confirm this to you by email.
Admission is curated and discretionary
The summit is a senior-only forum. We may decline any registration at our discretion, and we do not accept general-interest registrations. A declined registration is never charged — see Payment below.
Badges are personal
Registrations and badges are personal and non-transferable. If your circumstances change, contact us directly and we will review the request case by case.
Accurate details
You must register with your own name, organisation, job title, and working email address. We may withdraw a badge, without refund, where the details given are inaccurate or the registration was made on someone else's behalf without disclosure.
What A Badge Costs.
General Attendance
Full-day access to the summit programme.

Complimentary for NATO, EU defence bodies, and national Ministry-of-Defence personnel. A military email is required.
ComplimentaryPrices are per person and include VAT — the amount shown is the amount charged. VAT is broken out of that total on your invoice, and the reverse charge is applied where you supply a valid cross-border EU VAT number at checkout.
A badge covers admission to the summit programme on 1 March 2027 as described for your tier above, and catering during the day. Travel, accommodation, visas, and anything not stated as included are your own responsibility.

Charged On Approval.
A hold is placed when you register
Registration on a paid tier is pay-first. At checkout, our payment processor Stripe places an authorisation — a hold — on your card for the full VAT-inclusive price of your tier. No money moves at this point: the amount is reserved on your card, not taken. Payment is by card only, because holding funds for later capture is a card capability.
We review your registration
Your place sits pending on the waitlist while our team reviews it. You are not charged during this period.
If approved, the hold is captured
On approval the held amount is captured — this is the point at which you are charged — your place is confirmed, and a VAT invoice for the same VAT-inclusive total is issued to you by email.
If declined, the hold is released
On rejection the authorisation is cancelled: no payment is taken and there is nothing to refund. How quickly the reservation clears from your statement is determined by your card issuer, not by us.
Important: you may be charged before a decision
A card authorisation does not last indefinitely — it lapses roughly 7 days after it is placed. If our review is not complete before your hold is about to lapse, we capture the payment before that point so that your place is held rather than lost.
This means you may be charged before a decision has been made on your registration. If your registration is then declined after the payment has been captured, we refund the amount in full.
Defence Institutions tier
The defence-institution badge is complimentary: no card details are taken and no hold is placed. It is still subject to the same review, and eligibility is verified from an official defence email domain. If eligibility cannot be verified, we may decline the registration or invite you to register on a paid tier instead.
Card details
Payments are processed by Stripe. We do not store your card details.
Failed or lapsed authorisations
If a hold cannot be captured — for example because it lapsed or your card was cancelled — we will contact you to arrange payment. Until payment is settled, a place cannot be confirmed.
If Plans Change.
Before your registration is approved
Email us at info@aidefencesummit.eu and we will withdraw your registration. If the hold has not yet been captured it is released and you are not charged; if it has already been captured, we refund it in full.
After your place is confirmed
Places are curated and capacity is limited, so a confirmed badge is charged for the place we hold for you. Once your place is confirmed the badge is non-refundable, whatever the reason for cancelling and however far in advance you tell us. If you can no longer attend, write to info@aidefencesummit.eu — we cannot refund the badge, but we would rather know.
Sending a colleague instead
Registrations are personal and non-transferable, because admission depends on who you are. If your circumstances change, contact us directly — we review substitution requests case by case, and any replacement is subject to the same review.
Non-attendance
A confirmed badge that is not used on the day is not refunded and does not carry over to a future edition.
Right of withdrawal
Under EU consumer law, the 14-day right of withdrawal for distance purchases does not generally apply to leisure and event services supplied on a specific date. A summit badge is such a service, so your registration is governed by the cancellation terms on this page rather than by a statutory cooling-off period. This does not affect any rights you have if we fail to supply what was promised.
All refunds are made to the card used at registration, in the currency charged. To request one, email info@aidefencesummit.eu from the address you registered with.
Programme, Postponement,
Cancellation.
Programme changes
The published agenda is indicative. Sessions, speakers, timings, and rooms may change, and sessions marked TBC are not yet confirmed. A change to the programme is not on its own grounds for a refund.
Postponement or change of venue
If the summit is moved to another date or venue, your badge carries over to the new date automatically and we will tell you by email. A postponement does not entitle you to a refund, and the badge remains non-refundable if the new date does not suit you.
Cancellation by us
If we cancel the summit outright, we refund your badge in full. We will contact every badge holder by email, and the refund is issued to the card you paid with — you do not need to request it. That refund is the full extent of what we owe you for a cancellation.
This applies however the cancellation comes about, including where it is forced on us by events outside our reasonable control — among them fire, flood or severe weather, epidemic, war, terrorism or civil unrest, strikes, failure of utilities or transport, loss of the venue, or an act or order of a public authority. In those circumstances we are not liable to you beyond refunding the badge.
Costs you incur
Travel, accommodation, and other costs you arrange around the summit are booked at your own risk. We do not reimburse them if the summit is cancelled, postponed, or changed, and we recommend you insure them.
Our total liability to you in connection with your badge and your attendance is capped at the price you paid for that badge. We are not liable for indirect or consequential loss, or for lost profit, revenue, or business opportunity. Nothing here limits liability that cannot lawfully be limited, including for death or personal injury caused by our negligence, or for fraud.
Access And Conduct.
- Your badge is personal and admits one named person only
- Session protocols differ — some sessions are on the record and others run under the Chatham House Rule; protocols are confirmed in the pre-event briefing materials
- Bilateral meetings arranged through the summit are strictly private
- We may refuse or withdraw admission where conduct disrupts the event or breaches venue rules; no refund is due in that case
- Venue rules, including any access or security checks in place at the venue, apply to all attendees

Governing Law.
Personal data collected during registration is handled as described in our Privacy & Cookies Policy.
We may update these terms; the version published here when you register is the version that applies to that registration.
These terms are governed by Belgian law, and disputes are subject to the courts of Brussels. If you are a consumer, this does not deprive you of the protection of mandatory law in your country of residence, and you may raise a complaint with us at info@aidefencesummit.eu before taking any other step.
